Getting Started
Welcome to the JGI! Please follow the five steps outlined below to submit samples for sequencing at the JGI. If you have any questions, please contact your project manager (See Step 4 for email addresses) or jgi_project_management@lanl.gov.

STEP 1: Return Your Signed User Agreement
Once your proposal is approved, the JGI project manager assigned to you will have the LBNL Sponsored Projects Office (Jane Hartnett) send you an umbrella User Agreement in pdf format along with an Appendix specific to your proposal (see sample User Agreement and sample Appendix). These documents must be signed by an authorized representative at your institution (for example, the Dean of the College or a legal counsel representative) and returned to the Sponsored Projects Office prior to initiating work on your proposal.
The Department of Energy has mandated that all projects performed in its user facilities be covered by a legally binding User Agreement. This User Agreement indemnifies JGI against lost or damaged materials, and spells out intellectual property provisions, copyrights, etc. The “User” signing the JGI User Agreement will be your institution. The User Agreement and corresponding Appendix must be signed and returned (e-mail, fax, or mail) to Jane Hartnett before work on your proposal may begin.

Note: If you should change institutions or if the PI on the proposal will change, please notify your Project Manager as soon as possible to avoid any disruption to progress on the proposal. If you change institutions, a new User Agreement will need to be issued to your new institute for signature.
STEP 2: Review JGI Sample Preparation Requirements
Obtaining DNA & RNA of suitable quantity and quality has been the rate-limiting step for many projects at the JGI. The quality of the starting material is one of the greatest predictors of a successful sequencing project. Please review the appropriate guidelines detailing the quantity & quality requirements for samples submitted to the JGI.

STEP 3: Complete Collaborator Sample Information
A Collaborator Sample Information (CSI) form must be filled out completely for each sample being submitted to the JGI for sequencing. For gDNA, totalRNA, mRNA, or dscDNA, please use the new online form. For other sample types, please use one of the Excel spreadsheets below. The project manager will approve this form and the gel image of your sample prep as part of the approval process for shipping samples to the JGI. Once approved, you will need to print a hard copy of the CSI form or (for the online form) the shipping document and include it in the packaging with your sample.

STEP 4: Obtain Approval for Shipping
If you used an Excel file for your CSI, email the completed spreadsheet from Step 3 and a gel image of your DNA/RNA prep to your project manger (address below) for approval to ship your samples. If you used the online form, your information will be routed to the correct project manager automatically.

STEP 5: Review Shipping Instructions
After obtaining approval to submit samples to the JGI, please read the shipping instructions for sending your sample to the JGI. Remember to include a hard copy of the completed & approved Collaborator Sample Information form or shipping document (from Step 4) and send your package on a Monday or Tuesday. Please avoid federal holidays.
